Built for gear, tools, kit and equipment hire
The Equipment Rental Software With Availability You Can Actually Trust
Set one daily rate and the total works itself out from the hire dates. Pooled units are assigned automatically, and turnaround time is blocked before anything goes out again.

Why Rental Businesses Outgrow Booking Forms
Zero Risk Financial Model
No monthly subscription and no setup fee. We only earn when you do, charging a small commission on completed bookings.
Rentals, Not Appointments
A hire spans days, not a slot. The total is calculated from the dates chosen, and the unit is held for every single day of the period.
Turnaround Is Protected
Time is blocked after every return for cleaning, checking and charging. The system will not promise a unit that is still on the bench.
Full Feature Suite
Everything a rental operation needs to keep stock moving without overbooking it.
True Multi-Day Pricing
One daily rate, and the total is worked out from the dates the customer picks. A five-day hire prices correctly with nobody doing arithmetic at the counter.
Pooled Interchangeable Units
Group identical items into a pool. Customers hire the kit, not a serial number, and the engine assigns whichever unit is free for the whole period.
Turnaround Buffers
Block hours after every return for clean-down and quality checks. The buffer belongs to the unit, so it applies no matter who books next.
Security Deposits
Take a fixed or percentage deposit at checkout and set exactly what is refundable before and after your cancellation deadline.
Required Damage Waiver
Make the waiver a mandatory part of every booking. It is agreed and paid before the kit leaves, not argued about after it comes back broken.
Book by chat, not by form
An AI assistant that quotes and books multi-day hires in plain language, including deposits and waivers. Available as an add-on.
Ready to keep your stock working?
Set your inventory up once and let customers hire it themselves.
Launch Your Booking Page TodayStop tracking kit on a spreadsheet
Rental businesses lose money to double-booked units and hires that come back later than the spreadsheet says. Reservai gives you a professional booking page or a widget for the site you already run, and holds every unit for the full period it is actually out.
Manage Inventory
Every unit carries its own availability and turnaround time. Take one item out for repair without touching the rest of the pool.
Manage the Business
Track utilisation, revenue per unit and the stock that never moves, from a dashboard and reports built for operators.
Collect Reviews
Request feedback automatically once kit is returned, then use it as social proof. Rental is a trust purchase.
Get Support
A ticketing system staffed every weekday, plus full documentation covering every feature of the platform.
Flexible Booking Logic for Every Hire
Beyond Simple Calendars
Most booking tools were built for meetings. Reservai is built for stock that leaves the building.
- Day-Based Pricing: one rate, any number of days, calculated from the dates chosen.
- Unit Pools: identical items grouped together and assigned automatically.
- Return Buffers: clean-down and QC time blocked before anything is offered again.
See it work, end to end
From an empty account to a paid, confirmed booking
Every screen below is the real product — no mock-ups. Click any step, or open a screenshot full size.
Step 1 of 15
Every unit is tracked separately
Three camera bodies and five lens sets, each its own resource with its own calendar. The same unit can never go out twice.
Step 2 of 15
Serial numbers live on the unit
Brand, model, serial number and condition sit on the resource itself, so you always know exactly which body went out on which hire.
Step 3 of 15
Rented by the day, not by the hour
Marking the schedule as rented as full day is what turns this from an appointment into a hire priced across a date range.
Step 4 of 15
The kit: one day, $120
Duration set in days with a single daily rate. Everything else about the price is worked out from the dates the customer picks.
Step 5 of 15
What is in the box, spelled out
Camera body, lens set, two batteries, a CFexpress card and a hard case — listed once here and shown on every listing.
Step 6 of 15
Lens sets pooled, bodies listed
The lens sets are grouped into a pool so any free one can go out, while the bodies stay individually selectable.
Step 7 of 15
A $300 refundable deposit
Taken at checkout as a fixed amount, so the kit is never handed over without security against it.
Step 8 of 15
Tiered refunds, not all-or-nothing
A 24-hour window with a full refund before it and 50% after — for both the deposit and the balance. Late cancellations stop being a total loss on either side.
Step 9 of 15
Your public hire page
The kit, the daily rate and what is included, on a page you can share directly or embed into your rental site.
Step 10 of 15
The customer picks a body
Each camera body shown with its own availability. The lens set stays hidden and is matched from the pool behind the scenes.
Step 11 of 15
Extras, priced per day
An extra battery and a tripod charged for each day of the hire, plus a damage waiver — so a long booking is priced like a long booking.
Step 12 of 15
Three days, and the exact window confirmed
The customer says how many days they need and the engine returns a precise start and end date, having checked the unit is free for every one of them.
Step 13 of 15
Their details, with the kit in view
Guest or account, with the selected body, the full inclusions list and the chosen extras shown alongside.
Step 14 of 15
Multiplied out, itemised, taxed
The daily rate times three days, the extras times three days, the tax and the total — with your cancellation policy on the same screen.
Step 15 of 15
Booked, paid and confirmed
A booking reference covering the full three-day window, with every unit held for the duration and released only when it comes back.

Reservai AI booking assistant
Let customers hire kit by chatting
Add an AI assistant to your booking page or your rental website so customers can check dates and book a hire without waiting for the counter to reply.
A real booking, from a sentence
"Camera kit from the 4th to the 9th, with a tripod." The assistant prices the five days, adds the per-day extras and the required damage waiver, takes the deposit and confirms.
It handles changes too
Customers can come back and ask to move or cancel a booking. The assistant finds it, verifies who they are with a one-time code, and — for a repeating booking — asks whether they mean this one occurrence or the whole series.
It cannot invent availability
The assistant only proposes what the booking engine says is genuinely free, and it applies your deposit and cancellation rules exactly as the booking page would. It reads and writes through the same engine, so it can never promise a unit you cannot deliver.
The AI booking assistant is an opt-in add-on: a monthly fee with a bundled token allowance, plus a per-million-token charge if you go over it, billed on your regular platform statement. Everything else on this page works without it.

Frequently Asked Questions
How is a multi-day hire priced?
You set a single daily rate on the service. When a customer selects their hire dates, the total is calculated from the number of days automatically, and any add-on charged per day scales with it. A hire can run up to ninety days.
How do I stop the same unit going out twice?
Each unit is its own bookable resource. When a hire is confirmed, that unit is reserved for every day of the period and is unavailable to anyone else until it comes back and its turnaround buffer has elapsed.
What if I have several identical items?
Group them into a pool. Customers hire the kit rather than a specific serial number, and the engine assigns whichever unit is free for the entire period. That fills your stock far more evenly than letting people pick.
Can I make a damage waiver compulsory?
Yes. Add it as a required add-on and the customer cannot complete a booking without it, so it is agreed and paid before the kit ever leaves the counter.
What does the AI booking assistant actually do?
It takes a hire end to end from a normal conversation: working out the rental days from the dates given, pricing per-day extras, adding a required damage waiver, taking the security deposit and confirming. It can also find an existing hire and amend or cancel it. It works through the same availability engine as the booking page, so it cannot promise a unit that is already out or still in turnaround. It is an opt-in add-on with a monthly fee and a token allowance.
Do I need my own payment gateway?
Yes. if you wish to accept credit card, so you can take deposits on boarding from day one. Connecting your own account will help you do that, however if you only accept cash, then you dont need payment gateway. Reservai currently accept Stripe Gateway!
