Roles & Permissions

{info} Roles let you control exactly what each staff member can see and do in the dashboard. You can create as many roles as you need — for example, "Receptionist," "Manager," or "Accountant."


Overview

Each role has a set of permissions across the modules your staff can access. You control four actions per module:

Permission What it allows
View See the page and its data
Create Add new records (e.g., create a booking or add a customer)
Edit Modify existing records
Delete Remove records

Creating a Role

  1. From the sidebar, go to Administration > Roles.
  2. Click Create Role.
  3. Enter a Name for the role (e.g., "Receptionist").
  4. Set permissions for each module:

For each module (Bookings, Schedule, Services, Reports, etc.), toggle the actions you want to allow. By default, all permissions are off.

  1. Optionally set the Scope for Bookings and Schedule modules (see below).
  2. Click Save.

{primary} A staff member needs at least View permission on a module to see it in their sidebar. Without it, the menu item is hidden.


Editing a Role

  1. Open the Roles page.
  2. Click the role name you want to edit.
  3. Update the name or permissions as needed.
  4. Click Save.

Changes take effect immediately for all staff members assigned to this role.


Deleting a Role

  1. Open the Roles page.
  2. Click Delete next to the role you want to remove.

{warning} You cannot delete a role that has staff members assigned to it. Reassign those staff to a different role first.


How Permissions Work

The available modules are:

Module What it controls
Bookings All bookings, POS, booking actions
Schedule Resource Scheduler and Calendar views
Services Service catalog, create/edit services
Business Setup Business settings, branches, payment setup
Products Product catalog
Reports All report types (Bookings, Revenue, Commissions, etc.)
Reviews Customer reviews
Staff Staff list and invitations
Tickets Support tickets
Transactions Payment ledger

{info} Providers always have full access to all modules. Permission settings only affect staff members.


Scope: All vs Own Bookings Only

For the Bookings and Schedule modules, you can set the scope:

  • All bookings — the staff member sees every booking across all resources
  • Own bookings only — the staff member sees only bookings assigned to resources they are linked to (see Staff Resources)

This is useful when you have multiple staff members who each manage their own appointments. For example, a hairstylist linked to their own staff resource (e.g., a Staff-type resource "Ahmed") would see only their own clients in the schedule — not the bookings assigned to other stylists' resources.

{primary} The "Own bookings only" scope only takes effect when the staff member is linked to specific resources on the Staff Resources page. Without resource allocation, the scope setting has no effect.
