Provider Documentation

Welcome to the Reservai Provider Documentation. This guide covers every section of your Provider dashboard — from setting up your business and services to managing bookings, tracking finances, and growing your customer base.


Quick Start: Your First Days

If you've just signed up, here's the recommended path to go live as quickly as possible.

Step 1: Register and Verify Your Email

Head to the Register page and create your account. You'll need:

  • Your name and email address
  • A password
  • Your company / business name

After you submit, check your email and click the activation link. This confirms you own the email address and keeps your account secure.

Step 2: Complete the Setup Wizard

Once you log in, you'll be taken to the Setup Wizard — a step-by-step guide that walks you through everything your business needs before accepting bookings.

The wizard has 8 steps:

1. Business Basics Your business name, phone, email, website, country, timezone, and currency
2. Payment Setup How you get paid — connect your own Stripe (or PayPal where supported) account, or take payment offline (optional, can skip for now)
3. Branch Setup Add one or more locations — address, working hours, and days
4. Resources Your bookable assets — rooms, equipment, vehicles, or facilities
5. Availability When each resource is available, including recurring weekly schedules
6. Services Create your first service — name, duration, price, and which resources it uses
7. Add-Ons Optional extras customers can add at checkout (optional, can skip)
8. Review & Go Live A summary of everything — when you're ready, flip the switch and start taking bookings

{info} You can save your progress and come back anytime. Steps 2 (Payment Setup) and 7 (Add-Ons) are optional and can be skipped.

Step 3: Submit KYC Documents (If Required)

Depending on your country and payment setup, you may need to submit identity or business verification documents. If KYC is required, a Verification link will appear in your Account sidebar section. Simply upload the requested documents and wait for the admin team to review them.

Step 4: Explore Your Dashboard

Once setup is complete, you'll land on your Dashboard — the command centre of your business. It shows:

  • Operations & finance KPI cards — today's bookings, monthly bookings, earned revenue, scheduled value, net collected, pending items, and more
  • charts — booking trends, booking status distribution, and service popularity
  • Widgets — billing snapshot, recent bookings, today's schedule, quick action buttons, and recent reviews

{primary} The dashboard is your daily starting point. Spend a minute each morning reviewing your KPIs and today's schedule.

Who This Guide Is For

The Provider Documentation is written for two types of users:

Providers — Business owners who manage their entire operation. You have full access to every section, including setup, staff management, financial reports, and account settings.

Staff — Employees who work at a provider business. Your access is controlled by a Role that the provider assigns to you. Depending on your permissions, you may see a simplified sidebar with only the sections you need to do your job.

The 8 Sidebar Sections

The Provider sidebar is organised into 8 sections. Here's what each one contains:

Main

  • Dashboard — KPI overview, charts, recent bookings, and quick actions
  • Setup Wizard — Revisit the setup wizard to add or update your configuration (Providers only; hidden from Staff)

Operations

  • Business Setup — Update your business basics, payment setup, and branch details after the initial wizard
  • Resources — Manage your bookable resources (rooms, equipment, vehicles, facilities) and their schedules
  • Services — Your full service catalog — create, edit, activate, or deactivate services and manage add-ons
  • Products — Retail products you can sell alongside bookings (e.g., merchandise, parts, supplies)

Bookings

  • All Bookings — The complete list of every reservation with powerful filters, search, and export
  • POS — Walk-in point-of-sale flow for when customers book in person
  • Resource Scheduler — A visual drag-and-drop board showing your resources and their booked time slots
  • Calendar — Month, week, and day views of all your appointments across resources

Finance

  • Plan & Billing — Your current subscription plan, usage limits, and billing overview
  • Subscription — Compare plans, upgrade, downgrade, or change your subscription
  • Transactions — The full payment ledger showing every booking payment, commission, and refund

Growth

  • Reviews — Read and reply to customer reviews. Reviews must be approved by the platform before they appear publicly
  • Promotions — Create discount codes and promotional offers (coming soon)
  • Reports — A suite of reports covering bookings, revenue, commissions, services, and customers

Administration

  • Staff — Invite team members, manage their profiles, and see who's working for you
  • Roles — Create custom roles with specific permissions to control what each staff member can see and do
  • Staff Resources — Assign staff members to specific resources in bulk

Account

  • Profile Settings — Update your name, email, phone number, and profile photo
  • Verification — Submit KYC documents if required (shown conditionally)
  • Booking Widget — Get your embed code to let customers book from your own website
  • Security Settings — Change your password, manage active sessions, and verify your phone number
  • Delete Account — Permanently close your account (irreversible)

Support

  • Tickets — Create and manage support tickets to get help from the Reservai team
  • Notifications — View all your in-app notifications in one place

Payments & Country Availability

You take online payments through your own payment gateway, and Reservai never collects or holds your money — customers pay you directly. Some details depend on the country you operate in:

{info} Reservai charges a commission per booking and bills it to you — it is never deducted from the customer's payment, because that payment goes straight to your own gateway.

Provider vs Staff: What's the Difference?

This is important to understand because it affects what you see and can do.

Provider (you own the business):

  • Full access to every section and feature
  • Sidebar shows Setup Wizard and Verification (KYC) items
  • Can create and manage staff accounts, roles, and permissions
  • Sees the full financial picture (transactions, commissions, billing)

Staff (you work for a provider):

  • Access is controlled by your assigned Role
  • Sidebar items are filtered — you only see what you have permission to view
  • The Setup Wizard and Verification are hidden
  • Can view and manage bookings, schedule, and services depending on your permissions

{info} If you're a staff member and can't find a menu item your colleague can see, your Role likely doesn't include permission for that module. Ask your provider to review your permissions in the Roles section.

Tips for a Smooth Start

  • Complete the wizard before tinkering. The 8-step wizard sets up your core structure. Going through it first prevents orphaned or inconsistent configuration.
  • Set up at least one resource and its availability. Without these, customers can't book even if you've created a service.
  • Start simple. Create one service with one resource and one weekly schedule. You can add complexity (more branches, multiple resource types, add-ons) once you're comfortable.
  • Use the POS for walk-ins. Even if you primarily take online bookings, the POS flow lets you handle in-person customers quickly without asking them to go through the customer-facing wizard.
  • Check your dashboard daily. The "Awaiting Completion" and "Past Due Uncompleted" counts help you catch bookings that need your attention.
  • Explore the reports. The Reports section gives you valuable insights into which services are most popular, when customers tend to book, and where your revenue comes from.
