Resource Schedule View

The Resource Schedule View is the detailed per-resource timeline inside the Resource Scheduler. While the main scheduler page shows all resources at once, this view focuses on what a single resource is doing and when it's available.


What Is the Resource Schedule View?

The Resource Scheduler displays your resources as horizontal rows. Each row shows a single resource's timeline for the selected time period. This is useful when you want to:

  • See exactly when a specific room, vehicle, or staff member is booked
  • Check availability before creating a manual booking
  • Move a booking from one resource to another
  • Spot gaps in your schedule

{primary} The resource schedule view is built into the Resource Scheduler page. It's not a separate page — just select the resource you're interested in from the resource rows on the left.

Viewing a Resource's Schedule

  1. Go to the Resource Scheduler from the sidebar
  2. The left panel lists all your resources, each in its own row
  3. Scroll down to find the resource you're interested in
  4. The timeline to the right shows its booked slots

Each resource row shows:

  • The resource name and avatar
  • The branch name (if you have multiple branches)
  • The resource type
  • Booking bars along the timeline, colour-coded by status

{info} You can use the Search resources field to quickly find a specific resource by name.

Understanding Availability Shading

In Day view, the scheduler shows availability shading behind the timeline. Green shaded areas indicate when a resource is available for booking based on its configured schedules.

  • Dark green — the resource has a schedule covering this time window
  • White / no shading — the resource is not available (no schedule, outside working hours, or during a break)

The shading comes directly from the resource's schedule (set in Operations > Resource Scheduling). If you've set a lunch break from 12:00 to 13:00, the shading splits into two green blocks: one before and one after the break.

{info} Availability shading only appears in Day view. Month view shows booking bars without shading.

Booking Actions

Each booking on a resource row supports these interactions:

Action How to Do It
View details Click the booking bar to open a modal with full booking info
Confirm Right-click a pending booking and select Confirm
Complete Right-click a confirmed booking and select Complete (only after appointment time)
Cancel Right-click and select Cancel
Mark No-Show Right-click a confirmed booking and select No-Show (after start time)
Send Reminder Right-click and select Send Reminder
Open booking From the details modal, click Open Booking to go to the full detail page

The details modal shows the booking number, date, time, status, amount, payment info, customer details, service name, assigned resources, add-ons, branch, and any notes.

Drag-and-Drop Rescheduling

You can move a booking to a different time or resource by dragging and dropping:

  1. Click and hold a booking bar
  2. Drag it to the new time and/or resource row
  3. Drop it — the system checks if the new slot is available
  4. If available — the booking is moved and updated automatically
  5. If not available — you'll see a message explaining why (e.g., the slot is already booked, outside working hours, or conflicts with a required related resource)

{warning} Not all bookings can be moved. Only Pending and Confirmed bookings are draggable. Shadow events (add-on resource allocations) cannot be moved — they follow the main booking.

Availability Check During Move

When you drop a booking, the system:

  1. Finds the closest available slot to your drop position
  2. Checks if the new slot is within the resource's operating hours
  3. Verifies no conflicting bookings exist at that time
  4. Checks related resource availability if the booking uses multiple resources
  5. Confirms the move or shows a rejection message

If you drop a booking slightly off the exact start time, the system snaps it to the nearest valid start time based on the resource's scheduling interval.

{primary} This means you don't need to be pixel-perfect when dragging. The system automatically aligns to the correct scheduling interval cadence.

Shadow Events (Add-On Resources)

When a booking uses multiple resources (for example, a boat tour that books both a boat and a captain), the secondary resources appear as shadow events on the scheduler.

Shadow events:

  • Appear as translucent, lighter-coloured bars
  • Cannot be dragged or rescheduled directly
  • Show the booking they belong to when clicked
  • Help you see the full resource allocation at a glance

{info} Shadow events are read-only. To change the resource allocation for a multi-resource booking, edit the booking from the booking detail page.

Tips & Best Practices

  • Use availability shading to spot gaps — green areas show when a resource is available but unbooked, which is great for slotting in last-minute jobs
  • Drag bookings between resources — if a staff member calls in sick, drag their bookings to another qualified staff member's row
  • Look for shadow events — they reveal hidden resource dependencies you might not notice in the main booking list
  • Refresh the view if you've made changes elsewhere — the scheduler doesn't auto-refresh, so click the Refresh button to see the latest state
  • Use zoom in Day view to see more detail — 15-minute zoom shows every scheduling slot clearly
